SUMMARY: Responsible for A/R application and backup for the A/P processing for the property, preparing tenant invoices, accruals, tracking capital expenditures and other accounting projects; Office Administration includes Tenant Service assistance, parking administration and daily operational support to manager as needed.

PRIMARY DUTIES AND RESPONSIBILITIES

ACCOUNTING

  • Assist with Set up of New Vendor accounts by completing accounting forms and 1099 and submitting to Corporate Accounting.
  • Understand and extract data from leases to prepare Tenant Billing and related correspondence.
  • Assist with processing A/P for property:
    • Assist with coding all A/P in accordance with approved budget
    • Assist with entering in invoices daily in Yardi and send back-up to Corporate Accounting for daily invoice submittal.
    • Assist with matching checks with invoices and mail to vendors. Generate monthly invoices for FPG Harwood garage, ground leases, DART passes, and traffic officers.
  • Prepare monthly Tenant billing for parking, guest parking, metered electric, and maintenance billing for lighting supplies, keys/locks, OT HVAC, and Engineering Labor.
  • Track and re-bill Tenant /Vendor miscellaneous charges that do not apply to the above categories on an as-needed basis.
  • Prepare and submit monthly sales tax to the state of Texas
  • Update tracking spreadsheet for building electric and water.
  • Enter all charges from tenant billings into Yardi.
  • Assist Sr. Property Manager with preparing and entering the Budget and Tenant Reconciliations.
  • Process A/R for the Property
  • Check clearing bank accounts daily and print statements
  • Print checks from lockbox daily.
  • Enter A/R batches in Yardi as received with proper application to tenant accounts.
  • Print back-up and send with batch to Corporate on daily basis.
  • One-time project includes cleaning up tenant ledgers.


OFFICE ADMINISTRATION

  • Assist Sr. Property Manager with daily operation.
  • Assist Sr. Property Manager with special tenant events.
  • Maintain records and log books for all accounting functions.
  • Assist Tenant Service Coordinator with duties as necessary.
  • Assist with answering tenant calls and office administration on as-needed basis.

PERSONAL SKILLS

  • Must have excellent customer service skills.
  • Must have the ability to make good decisions.
  • Must be able to take initiative.
  • Account receivables experience.
  • Working familiarity with Yardi Voyager, Word and Excel required.
  • Strong written and verbal communication skills.
Commercial property experience required.
