Develops and maintains constructive relationships with tenants by serving as the first point of contact via email, on the phone, and at Reception in the building management office.
Promotes elevated level of satisfaction among tenants by promptly responding to service requests (light bulbs, plumbing, heating or air conditioning concerns, janitorial complaints, etc.) by dispatching to the appropriate building personnel.
Monitors the dashboard of the web-based work order management program, Angus, to ensure tenant requests are being addressed and completed by building staff in a timely manner.
Follows up with tenant to ensure their requests have been addressed to their satisfaction.
Elevates urgent tenant and building matters to the appropriate Tenant Services Coordinator and other staff members as needed.
Enforces and tracks compliance with insurance requirements among tenants, contractors, vendors, and suppliers
Prepare tenant email blasts and correspondence as directed by Managers regarding upcoming events, construction, elevators, building holidays, etc.
Manages the contents of the building' s BOSS App and promotes tenant interaction. Coordinates App content with all departments and related vendors.
Maintains and emails the daily Building Activity Log which serves as the collective calendar for building management and staff.
Take photographs and program and distribute access cards for tenants daily during Badging Hours or by request, as directed by the Security Manager.
Answers telephone within 2 to 3 rings; directs calls as appropriate; takes messages when necessary and/or directs caller to voice mail.
Greets guests and visitors to the management office and provides service and refreshments as needed.
Orders and maintain appropriate inventory of office supplies for the building management office.
Maintains stock of refreshments and snacks for guests and visitors. Makes coffee and loads/unloads dishwasher as needed.
Maintains organization and cleanliness of office reception area, kitchen, and supply areas.
Opens, date-stamps, and distributes any incoming mail. Prepares messenger and express mail packages, monitors supplies, orders when necessary.
Monitors functioning of office equipment including computers, phones, copiers, scanners, etc. And contacts corporate IT for repair/support as needed.
Updates employee telephone lists, tenant directory and emergency contact lists and distributes to team.
Writes memos, correspondence, reports and other documents and develops spreadsheets as needed.
Provides administrative support to General Manager, Property Managers, Security Manager and Chief Engineer as needed.
Generate purchase orders per the direction of the General Manager and Property Manager and maintain purchase order log for accuracy and compliance.
Bachelor s Degree in Business and/or Accounting/Finance
Previous administrative experience, preferably in commercial real estate.
Prior employment history demonstrating the ability to work in a fast-paced, environment while managing multiple tasks and priorities, and to produce detailed, accurate results in a highly-organized manner.
Proficiency in Microsoft based software including Word, Excel, and Outlook
